Professional FAQs

Prior to Tenancy

PRIMO use the GOODLORD platform to progress applications from prospective tenants. Here’s a link showing how to set up your account: How do I set up my Goodlord tenant account?

It’s a good idea to review your budget before looking for a new home. Look at your current outgoings and your disposable income and be realistic about what rent level you can afford to pay. Here’s a link to Goodlord’s affordability information – How much do I need to earn to meet affordability?

Contact Primo on 01204 360920 or email [email protected] to get further information and organise a viewing. Once you’ve viewed and decided it’ll be a great home for you, complete the application form and pay any fees associated with the application process. You will have been advised of these fees at the enquiry stage/the fees are also outlined on our website. The application can then begin.

PRIMO use the GOODLORD platform to progress tenancy applications. Prior to the tenancy being offered, credit, employer, previous landlord
and bank references may be obtained in respect of all tenants by professional referencing agencies. Any offer of a Tenancy is strictly subject to satisfactory references being passed. Here’s a link to some key information regarding referencing and also documents you need for the
process: What is Goodlord referencing? Which documents do I need for referencing?

As part of the referencing process and to ensure Primo comply with ‘Right to Rent’ legislation we need to be sure a tenant is who they say they are. We will require a proof of residency (such as a utility or council tax bill from the last 3 months) and proof of ID (such as a passport or driving licence). By law Primo also must verify that you have the right to reside in the UK be it temporarily by way of a visa, or permanently.

If you fail the affordability requirements during the GOODLORD referencing process – don’t worry, you can usually use a Guarantor (a Guarantor is someone who agrees to pay the rent if for some reason you can’t). See how GOODLORD reference Guarantors: Goodlord referencing for guarantors explained.

There are different types of deposits – Holding Deposits and Security Deposits.

Holding Deposits

If you are interested in renting one of our properties, you will be expected to pay a holding deposit of £175.

Once this amount has been paid, we will not accept further offers for the Property. In the event of the parties proceeding with the tenancy, we will refund the holding deposit to you. This will usually be by way of making an equivalent deduction from the move in monies required from you before check in. Unless informed otherwise, it will be taken against the Rent payable (and deducted from your first rent payment).

If the Landlord decides not to rent the Property, decides to accept an offer from someone else, or an agreement is not reached before the Deadline for Agreement (provided you are not at fault), we will refund the holding deposit to you in full. Unless agreed in writing below, the Deadline for Agreement will be 15 days after the holding deposit has been received by us.

If you provide false or misleading information which reasonably affects the Landlord’s decision to let the Property to you, or if you fail a credit referencing or right to rent check, or if you withdraw from the proposed agreement, or if you fail to take all reasonable steps to enter an agreement when the Landlord has done so, we will retain your holding deposit. In the event that we intend to retain your holding deposit, we will set out in writing the reason for this within 7 days of either deciding not to enter the tenancy agreement or the Deadline for Agreement.

Security Deposits

A Security Deposit is a sum of money (usually 5 times the weekly rent amount) taken by the agency (at the start of the tenancy) on behalf of the landlord held against any potential breaches of the tenancy agreement. This could include unpaid rent, damage to the property, or missing items at the end of the tenancy. Under UK law all tenancy deposits for ASTs must be protected in a government approved Tenancy Deposit Protection (TDP) scheme. This ensures that your deposit is secure and that any disputes at the end of your tenancy are handled fairly. Full details of deposits can be found here (link to the document DEPOSITS). PRIMO use the MyDeposits Custodial Scheme, details here Information for tenants – Custodial protection | mydeposits

Alternative deposit option – ZERO Deposits

PRIMO offer an alternative to the traditional deposit. This is a ZERO deposit; instead of paying a large sum upfront (which can make moving expensive) we can also offer a ZERO Deposit option which is an insurance backed scheme – see details here: Deposit-free renting | Zero Deposit scheme for tenants – Zero Deposit

In Tenancy

A tenancy agreement is a contract signed by both the tenant and Primo (on behalf of the landlord). It outlines all the rules to which both parties must comply.

During your tenancy, inspections will take place. Primo will ask for access (your contract will contain a clause in relation to inspections – this gives Primo the right to access your rental property to undertake an inspection. Primo will provide minimum 24 hours’ notice).

This is to ensure that the property is being looked after and maintained in a good condition. It’s also a good opportunity to identify any maintenance issues (if they haven’t been reported). Don’t worry, this isn’t every week, or month, just an annual review of the property.

PRIMO have an automated repair reporting system FIXFLO where tenants can report a repair 24/7 – it will then be progressed by your building contact who will ensure any issue gets resolved as soon as possible. PRIMO also has an out of hours 24/7 answering service (01204 360920) for any EMERGENCY repairs.

An emergency repair is any issue that poses an immediate risk to your safety, damages the property or disrupts essential services. In these situations it may be appropriate to call public services – fire brigade (Fire) or police (Personal Safety).
For clarification an emergency situation might include:

  • loss of heating or hot water
  • gas leaks or carbon monoxide issues
  • burst pipes or major leaks
  • electrical failures (a complete power outage – not a tripped fuse)
  • broken locks or security issues.

If you are unhappy about something we want to know about it. Here’s a copy of our Complaints Procedure but in the first instance please get in touch with your building contact or Georgia Beaman –  01204 360920 / [email protected]

Primo will only enter the property after getting your permission (and will, under most circumstances, give you 24 hours’ notice). However, if there is an emergency, it may not be practicable to do so. For example, if the apartment above has a leak and we need to investigate it. We will of course contact you, but we may have to access to prevent further damage or inconvenience to another tenant.

In the first instance contact your property manager and they will confirm the process and next steps.

It’s really important to speak to PRIMO if you find yourself in this situation. It might be you have lost your job, been made redundant or just generally struggling with your commitments in the economic climate. The sooner you speak to PRIMO (who will liaise with your landlord) the sooner we can put in place a payment plan (if appropriate) or you may be able to leave your tenancy early. Communicating with us ([email protected]) will reduce any stress and you can also get advice and guidance from Citizens Advice – Dealing with rent arrears – Citizens Advice
